Microsoft Copilot in the UK Energy Sector

22 July 2025 · By Jordan

Microsoft Copilot helps UK energy companies with the document-heavy work around operations: project and bid documents, procedures, regulatory reporting drafts, meeting summaries and the email that comes with all of it. It works from the files, email and Teams conversations your staff can already access, so it won't read SCADA or asset data unless you deliberately connect those sources. Before rolling it out, sort out who can see what in SharePoint and Teams, because energy organisations hold commercially sensitive and security-sensitive information that Copilot will happily summarise for anyone who has access to it.

What does Microsoft Copilot do for an energy business?

There are two levels, and the difference matters when you are deciding who gets what.

  • Copilot Chat is included with eligible Microsoft 365 plans at no extra cost, including the frontline F1 and F3 plans that field and site staff often have. It answers from the web and from documents a user uploads, and when staff sign in with their work account their prompts and responses are covered by Microsoft's enterprise data protection commitments.
  • The Microsoft Copilot licence is a paid add-on. It works from the user's own email, calendar, chats, meetings and files, and sits inside Word, Excel, PowerPoint, Outlook and Teams. It includes the Researcher and Analyst agents and lets you build agents in Copilot Studio for use in Copilot, Teams and SharePoint.

Copilot connectors can bring content from other systems into Copilot, so a document management system or knowledge base can be included if you choose. Microsoft renamed Microsoft 365 Copilot to Microsoft Copilot, and Microsoft 365 Copilot Chat to Microsoft Copilot Chat, in 2026, so older licences and documents may still use the previous names.

Realistic use cases across generation, networks and retail

Copilot is most useful where people spend hours pulling together or rewording information that already exists in documents. In energy that tends to mean:

  • drafting sections of a tender, planning submission or stakeholder report from earlier project documents
  • summarising a project, HSE or contractor meeting in Teams, with actions and owners
  • helping staff find the right procedure, method statement or standard across a large SharePoint library
  • comparing a revised procedure with the current version and listing the changes
  • producing a first draft of a monthly operations or management report from the previous month's figures and commentary
  • asking questions of a spreadsheet in Excel, such as availability or cost by site, without building formulas

An agent built in Copilot Studio over a well-structured procedures library can answer site staff's questions and point them to the source document. That only works if the library is current and the superseded versions are archived, otherwise the agent will quote the old procedure with just as much confidence as the new one. Copilot can be wrong, so anything safety-related or going to a regulator needs checking by someone qualified.

What has to be sorted before you roll out Copilot?

Copilot only shows a user content they already have at least view access to. Energy businesses often have tenants shaped by acquisitions, joint ventures and project companies, with SharePoint sites and Teams set up for a project and never closed down, wide access granted to contractors, and sharing links still live years later. If someone can open a file through an old link, Copilot can find it.

The steps we would take first are:

  • run the SharePoint data access governance reports to find sites shared with everyone, sharing links and broken permission inheritance (SharePoint Advanced Management is included with Microsoft Copilot licences)
  • change the default sharing link if it is set to Anyone, then review guest accounts, particularly contractors and former JV partners
  • use Restricted Content Discovery on sensitive sites, such as trading, M&A, security and HR, while permissions are reviewed
  • label commercially or security-sensitive content and use Microsoft Purview data loss prevention for Copilot to keep it out of Copilot's answers
  • archive finished project sites and superseded procedures so Copilot isn't drawing on out-of-date material

We have built intranets for renewable energy operators, including Nadara, and a clear site structure with named owners is what makes anything that sits on top of it, Copilot included, work properly.

Security and data protection

Microsoft states that prompts, responses and data accessed through Microsoft Graph aren't used to train the foundation models used by Copilot. For tenants that signed up in the United Kingdom, Microsoft Copilot is covered by Microsoft's data residency commitments for data at rest, although Microsoft notes that queries from outside the EU may be processed in other regions. If you operate critical infrastructure, your security team will want to review that alongside your existing Conditional Access and data loss prevention policies before rollout.

For Teams meetings, organisers can choose whether Copilot works only during the meeting, using temporary speech-to-text data that isn't saved, or during and after it from a saved transcript. Agree a default for commercially sensitive meetings up front.

How is Microsoft Copilot licensed?

Copilot Chat is included with eligible plans including Microsoft 365 E3, E5, F1 and F3 and Office 365 E1, E3 and E5. The paid Microsoft Copilot licence is an add-on to a qualifying plan, including those plans and the Business plans for smaller organisations, and it is included in Microsoft 365 E7. Users without a Copilot licence can use agents in Copilot Chat, but agents that work from your SharePoint content or connectors are charged on consumption in Copilot Credits. Pricing depends on your agreement, so get a current figure from your reseller.

A phased approach makes sense: Copilot Chat for everyone with clear guidance, paid licences for a group with heavy document and meeting loads, such as project managers and bid teams, and a few months of measurement before scaling. Our guide to AI readiness assessments explains what we check.

Frequently asked questions

Can Microsoft Copilot access operational or SCADA data?

Not by default. Microsoft Copilot works from Microsoft 365 content such as email, files, chats and meetings that the user can access. Other systems can be brought in through Copilot connectors or Copilot Studio, which is a deliberate design and security decision rather than something that happens automatically.

Can field and site staff use Copilot?

Yes. Users on Microsoft 365 F1 and F3 frontline plans get Copilot Chat at no extra cost, and both plans qualify for the paid Microsoft Copilot add-on.

Is Copilot data stored in the UK?

For tenants that signed up in the UK, the content of Copilot interactions is covered by Microsoft's data residency commitments for data at rest. Microsoft documents that query processing can happen in other regions, so include that in your risk assessment.

What should we fix before buying Copilot licences?

Oversharing comes first: sites shared with everyone, Anyone links, old contractor and partner guest accounts, and broken permission inheritance. Then archive finished projects and superseded procedures, and agree an acceptable use policy for staff.
